Cookies and Tracking Technologies
Frequency Specific Seminars websites, online services, email messages, and advertisements may use “cookies” and other technologies such as pixel tags and web beacons. These technologies help us better understand user behaviour, tell us which parts of our websites people have visited, and facilitate and measure the effectiveness of advertisements and web searches.
We treat information collected by cookies and other technologies as non-personal information. However, to the extent that Internet Protocol (IP) addresses or similar identifiers are considered personal information by local law, we also treat these identifiers as personal information. Pixel tags enable us to send email messages in a format customers can read, and they tell us whether mail has been opened. We may use this information to reduce or eliminate messages sent to customers.

Complaints Policy
Frequency Specific Seminars is committed to providing high-quality continuing professional development (CPD) training. We recognise that occasionally things may not meet expectations. This policy outlines how learners and stakeholders can raise complaints and how we will respond.
This policy applies to all Frequency Specific Seminars training activities, including in-person seminars, livestream courses, online/video courses, and practicum sessions delivered worldwide and specifically for UK CPD-accredited programmes.
Informal Resolution
We encourage learners to raise concerns informally in the first instance. During an in-person seminar, please speak with the Event Coordinator or an instructor. For online or post-event concerns, please email contact@frequencyspecific.com or call +1 (360) 695-7500.
Formal Complaint
If informal resolution is not satisfactory, or if the complaint is of a serious nature, please submit a formal written complaint via email to contact@frequencyspecific.com with the subject line: FORMAL COMPLAINT. Your complaint should include:
- Your full name and contact details
- The course or event concerned, including the date(s)
- A clear description of your complaint
- Any supporting evidence (documents, correspondence, photographs)
- The outcome you are seeking
Response Timeline
- Acknowledgement of your complaint within 5 working days of receipt
- Full investigation and written response within 20 working days
- If the matter requires extended investigation, we will notify you of the revised timeline
Investigation and Escalation
All complaints are logged in our complaints register and reviewed by the Operations Manager. Where appropriate, we will speak with relevant staff, instructors, or third parties. The complainant will be kept informed throughout the process.
If you are dissatisfied with the outcome, you may request a review by the company director (Dr. Carolyn McMakin or designated successor) within 14 days of receiving the response. The review decision will be provided within 20 working days and is considered final.
Record Keeping
All complaints and their outcomes are recorded and reviewed quarterly to identify trends and drive improvement in our training programmes. Records are retained for a minimum of three years.
Disability & Accessibility Policy
Frequency Specific Seminars is committed to ensuring that learners with disabilities are not treated less favourably and that reasonable adjustments are made to ensure equal access to our training programmes. This policy applies to all courses, whether delivered in person, via livestream, or online.
This policy is informed by the UK Equality Act 2010, the Americans with Disabilities Act (ADA), and equivalent legislation in the jurisdictions where we operate. We recognise our duty to make reasonable adjustments for disabled learners.
Our Commitments
- We will not discriminate against any learner on the basis of disability in our admissions, teaching, assessment, or certification processes.
- We will make reasonable adjustments to our training delivery, venues, and assessment methods to accommodate learners with disabilities.
- We will train our staff and instructors to be aware of disability issues and to respond appropriately to requests for adjustments.
Reasonable Adjustments
We are committed to working individually with learners who have disabilities to find practical solutions that support their participation. Examples of adjustments we may offer include, but are not limited to:
- Allowing additional time for any assessed components
- Providing seating arrangements or positioning accommodations in seminar rooms
- Ensuring venue accessibility (wheelchair access, accessible toilets) where available
- Permitting breaks as needed for health management
- Offering livestream attendance as an alternative to in-person attendance where feasible
We do not currently provide course materials in alternative formats. However, some online courses have been translated into other languages, and those materials can be downloaded and printed by the student (for example, through a service such as FedEx Office). We will work with individual learners to explore what solutions may be possible for their specific needs.
We do not currently have hearing assistance equipment available at our venues. However, we are happy to work with learners who have hearing impairments to identify workable solutions on a case-by-case basis.
Requesting Adjustments
Learners are encouraged to inform us of any disability or additional needs at the point of registration, or as soon as possible thereafter, so that we can discuss and arrange appropriate support. Please contact: contact@frequencyspecific.com or call +1 (360) 695-7500.
All information shared about disability or health conditions will be treated confidentially and shared only with those who need to know in order to arrange the requested adjustments.
Complaints
If you believe you have been discriminated against on the basis of disability, or if a reasonable adjustment request has been denied without adequate justification, you may raise a complaint under our Complaints Policy (see above).
Health & Safety Policy
Frequency Specific Seminars is committed to ensuring the health, safety, and welfare of all learners, instructors, staff, and visitors during our training events. This policy applies to in-person seminars, practicum sessions, and any associated activities.
Venue Selection
All in-person seminars are held at professional conference venues or hotels that comply with local health and safety regulations, fire safety codes, and accessibility requirements. We verify venue compliance before confirming any booking.
Seminar Room Safety
- Emergency exits are clearly marked at all seminar venues. At hotel and conference centre venues, exit signage and evacuation procedures are maintained by the venue in accordance with local fire safety regulations. At our Troutdale, Oregon training facility, exits are clearly marked and accessible.

- Room temperature, lighting, and ventilation are monitored throughout the event.

- Participants must hold a valid professional licence that includes the right to use electrical stimulation on patients in order to participate in hands-on practice.
- Hygiene protocols are followed: clean towels for each participant, hand sanitisation, and proper cleaning of equipment between uses.
- Participants are informed that they should be adequately hydrated before participating in practicum sessions.
- Any adverse reactions during practicum are documented and addressed immediately by the instructor.
Food Safety
Where meals and refreshments are provided, we work with venue catering to accommodate common dietary requirements (gluten-free options are standard). Attendees with severe allergies should inform us at registration.
Online and Livestream Safety
- We provide instructions for setting up your learning environment, including viewing the video on a TV screen and the slides on a tablet for note-taking.
- Regular breaks are scheduled into the programme (morning break, lunch, afternoon break).
- During livestream events, a team member monitors the chat window to assist learners who need help.
Incident Reporting
Any health or safety incident, near-miss, or concern should be reported immediately to the Event Coordinator or any instructor. All incidents are documented and reviewed to prevent recurrence.
Equal Treatment Policy
Frequency Specific Seminars is committed to providing an inclusive learning environment where all participants are treated with dignity and respect. We value diversity and are committed to equal treatment regardless of personal characteristics.
This policy is informed by the UK Equality Act 2010 and equivalent anti-discrimination legislation in the jurisdictions where we operate, including US federal and state civil rights laws.

- Course content, delivery, and assessment will be free from discrimination, harassment, and bias.
- We will ensure that our instructors and staff are aware of their obligations under this policy.
